Job Description :

The Accounting Specialist is responsible for assisting the Finance Department with all transactions within accounts receivable and accounts payable. In this role, you will work closely with the Head of Finance and assist with different functions within the Finance Department. You will have the opportunity to have a clear impact on the company’s growth while developing your accounting skills. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Enter vendor invoices and charge expenses to GL accounts and analyzing invoice/expense reports. Report significant variances to management
  • Ensure all vendor invoices, credits, and disbursements are properly approved or matched with purchase order (PO) before processing. Resolves any PO, contract, invoice, or payment discrepancies
  • Apply payments via ACH, check, credit card, etc. to the appropriate account
  • Enter customer deposits in QBO
  • A/R audit and reconciliation
  • Schedule and prepare company checks, bill payments, and bank wires as required
  • Work with Finance Manager regarding researching payments, reconciliations, and payment processing questions that may arise
  • Verify vendor accounts by reconciling monthly statements
  • Track and maintain historical vendor invoices and records
  • Reconcile bank statements
  • Review and reconcile employee credit card purchases for accuracy and compliance with company policies
  • Month-end close
  • Reconcile and maintain General Ledger balances and accounts
  • Miscellaneous tasks such as setting up new accounts, contacting vendors with invoice/payable questions, updating vendor information including W-9 and ACH, vendor contracts, etc.
  • File and maintain business licenses
  • Monthly Sales, Use, and Excise Tax Reporting for multiple states
  • Backup for Accounts Payable/Payroll and Accounts Receivable
  • Weekly accounting reports
  • Calculate Commissions
  • Data entry and maintenance of customer accounts
  • Research and resolution of discrepancies in customers’ accounts
  • Run financial reports for various special projects as needed and assist in preparing weekly project profitability reports
  • Daily/Weekly reconciliation of credit card payment reports
  • Assist with HR duties
  • Assist Executive Team with assigned tasks, email, travel, scheduling
  • Month-end and year-end functions
  • Order and maintain office supplies/purchases
  • Other duties as assigned

REQUIREMENTS:

  • BS or BA degree in Accounting/Economics/Business, preferred
  • 3 + years’ experience in Operational Accounting using QBO
  • Experience in thorough data entry with a high level of attention to detail
  • Excellent accuracy and attention to detail; must be able to objectively review one’s own work and improve upon it prior to supervisor review.
  • Ability to think analytically and adapt quickly in a flexible environment
  • Collaborative, team player with a strong desire to learn and grow
  • Exceptional time management skills and accountability in the role
  • Strong PC computer skills, Excel proficiency a must
  • Interest in socially and environmentally responsible organizations and products
  • Strong ability to adapt and adjust priorities, as necessary
  • Proficient data entry skills, including solid knowledge of Microsoft Excel, Word, PowerPoint, and Adobe
  • Proficiency operating Outlook and managing multiple calendars
  • Proficient verbal and written communication skills are required
  • Excellent organizational skills and team-oriented attitude
  • Must be able to follow instructions and respond to management direction, keep commitments, reach goals, and complete tasks on time
  • Must be at work consistently and on time. Ensure work responsibilities are covered when absent
  • Must be able to work cooperatively with other people/departments
  • Previous experience supporting executives is highly desired
  • A valid driver’s license and vehicle is needed for trips to the post office, restaurants, etc.

  • Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus
  • Must be able to lift boxes (ex: copy paper) weighing approximately 50 lbs
