Job Summary

This job is full-time with the shift beginning at 6:45am ET - 3:15pm ET on M-F.

The Warehouse Coordinator will oversee the production side of the factory and coordinate directly with the Operations team. This person will oversee a production schedule and communicate directly with the VP of Operations regarding supplies, inventory, and various other topics. This person will ensure that the items and services to build and maintain our products are delivered according to agreed terms and conditions.

This person should also have a strong production background along with experience supervising a team of 5 or more individuals along with being able efficiently direct and coordinate all organizational production. This person will be responsible for improving performance, productivity, efficiency and profitability through the implementation of effective methods and strategies. This individual will also train new employees on the production side and provide direct reports to share with the VP of Operations.

An important aspect of this role is seeking maximum value for the company through time and cost efficiencies while focusing on meeting production requirements.

Another important quality for one to possess for this job is a mechanical inclination. A person should have machine operating experience and possess the capability and willingness to operate the machines on a regular basis. This person would be able to get to know the machines and feel comfortable identifying problems and repairing them when needed or communicating the problems that would require attention from a professional mechanic.

Essential Responsibilities and Duties

  • Lead to enhance communication between the warehouse and cutting room, solving problems and addressing any friction between the groups.
  • Help manage an accurate, revolving FIFO inventory and rigorously investigate any discrepancies.
  • Interfaces with operations management to prioritize production activities.
  • Receives and audits approved purchase orders and supporting documents to suppliers.
  • Tracks order acknowledgement, prepares and communicates shortage.
  • Tracks orders and confirms system lead times, delivery dates and costs.
  • Reviews updates and maintains purchase orders until they are closed.
  • Ensures orders adhere to supplier agreements and contracts; reports nonconformance.
  • Leads finance and logistics staff in resolving reception and invoice discrepancies.
  • Identifies opportunities and implements actions to achieve efficiencies.
  • Executes regular inventory schedule and investigates discrepancies.
  • Contributes to consolidation, reduction, and rationalization of the local supplier base.
  • Protects organization's value by keeping information confidential.
  • Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
  • Enhances organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
  • Accomplishes warehouse operations human resource objectives by orienting, training, assigning, scheduling, coaching, counseling, and disciplining employees; communicating job expectations; planning, monitoring, appraising, and reviewing job contributions; enforcing policies and procedures.
  • Refine warehouse operations systems by determining product handling and storage requirements; developing, implementing, enforcing, and evaluating policies and procedures; developing processes for receiving product, equipment utilization,
  • Manages inventory and shipping and receiving, noting any place for improvements.
  • Develops warehouse operations system improvements by analyzing process work flow, manning and space requirements, and equipment layout; implementing changes.
  • Maintains safe and healthy work environment by establishing, following, and enforcing standards and procedures; complying with legal regulations.
  • Accomplishes warehouse operations and organization mission by completing related results as needed.
  • Ensure that all workings are manufactured in a correct, cost effective and timely manner in alignment with specifications and quality requirements.
  • Chalking out or improve operational systems, processes and best practices that guarantee organizational well-being ensuring warehouse efficiency.
  • Contribute towards the achievement of company’s strategic and operational objectives.
  • Perform quality controls and monitor production KPI’s.
  • Reviews planned orders, creates requisitions for purchased items and manages approval process.

Qualifications

  • AA Degree, BS in Business preferred, but extensive relevant experience will be considered in place of this qualification
  • Five (5) plus years’ experience in production management
  • Mechanically inclined with intermediate to expert knowledge on machine operation and repair
  • Strong computer skills in Microsoft Office Suite applications
  • Proficiency with Adobe Acrobat
  • Detail oriented with excellent organizational skills
  • Excellent people and communication skills (written, presentation and verbal)
  • Strong negotiations experience
  • Team oriented
  • Experience with inventory management software a plus
  • eCommerce Background a plus
  • Experience as a warehouse supervisor, warehouse manager, warehouse production supervisor, or warehouse management is a plus
