The Inside Sales/Order Entry person performs administrative tasks including paperwork management, data entry, email communications, internet usage, and customer interfacing in conjunction with other office staff in support of the field service/testing staff and the overall company effort of providing medical gas system service and parts to hospitals.

Job Duties include but are not limited to:

Primary Duties and Responsibilities:

➢ Create Sales Orders (SO’s) in QuickBooks for sanctioned work by the Field Staff, primarily for the Source Group, but also for jobs that have both Source and Pipeline, or jobs with multi-year contracts. Creation of SO’s follows the Estimating process and receipt of customer Purchase
Orders. Work with the Estimator and the Customer Service Representative to assure this process proceeds smoothly.

➢ Specify and order parts needed by Field Staff for customer jobs. This mostly includes normal consumables for performing Preventive Maintenance on air compressor and vacuum pump machinery, but also repair parts for same and repair parts for medical gas pipeline equipment.
Work with the Estimator to monitor what parts are needed for upcoming work, staying several months ahead of due dates. Also work with the Inside Sales Staff who are working on construction bid projects to coordinate parts orders for volume discounts. This includes maintenance of the contents and organization of the parts storage area (“the cage”).

➢ Work with the Source Services Manager to maintain the Source Group work schedule board, which tracks the status of field projects. Construct and monitors the progress of jobs in the
Excel file for the year and individual months by entering data and using the color change procedure to track progress as purchase orders are received, technicians are scheduled, work is completed, and invoicing is submitted. This includes participation in the biweekly scheduling meeting.

(Perform office-based logistical and clerical support for the testing/service of Medical Gas and
Vacuum Systems in Healthcare Facilities)
Primary Duties and Responsibilities (cont.):

➢ Coordinate with Shipping/Receiving Clerk to monitor the status of parts orders. This includes parts to be shipped to Medpipe office, to be drop shipped, and to be shipped from Medpipe to

customers. Also works with Shipping/Receiving Clerk to assemble and monitor the Annual
Repair project kits.

➢ Receive invoicing information via email from the Source Group field staff. Process involves reviewing the received documents, attaching them to the Sales Orders and checking that all required information and documents are present and correct; then marking the order for the accounting department to proceed with invoicing.

➢ Manage the process and paperwork of returned parts/equipment (aka Returns).

➢ Monitor the weekly Open Sales Orders reports to identify the status of all open jobs and assure that any jobs that are complete in every way are closed out. This includes tracking and managing the Emergency Service jobs that are performed prior to receiving customer Purchase
Orders (the Need-To-Gets).

Advancement is possible through lateral mobility by gaining proficiency with other office (or field) functions and/or by promotion to management, depending on company need and with commensurate tenure and experience.
