GENERAL DESCRIPTION OF DUTIES
The purpose of this position is to assist the Deputy County Administrator, Assistant County Administrator, and senior management staff by providing administrative, clerical, and office support.

ESSENTIAL DUTIES
Provides administrative/clerical support to the Deputy County Administrator and Assistant County Administrator. Handles mail for the Deputy County Administrator and the Assistant County Administrator. Maintains calendars, arrange appointments and meetings. Takes dictation and transcribes. Types/word processes correspondence, memoranda and other documents as required. Obtains signatures on documents requiring approval, i.e., Travel Request and Expense forms, Leave Slips, etc., and process promptly. Makes travel arrangements and hotel reservations, and prepares Travel Request and Travel Expense forms.
Provides administrative/clerical support to the Senior Assistant to the County Administrator, the Public Information Office, the Special Projects Coordinator, the Sustainability Coordinator, the Agenda Coordinator, and the Director of Legislative Affairs and Economic Development. Distributes mail to staff mailboxes. Makes travel arrangements and hotel and car reservations. Prepares Travel Request and Travel Expense forms. Provides clerical support in completing large projects when needed.
Provides Office Support: Responds to internal and external questions for information. Assists in monitoring level of office supplies and replenishes supplies as needed. Completes Purchasing Card transactions in Banner. Completes Purchasing Card procedures for submitting receipts with bank statements for payment. Serves as backup to the Receptionist. Sends faxes and distribute incoming faxes appropriately. Establishes and maintains files.

Uses independent judgment involving prioritizing workload. Routine daily functions may be set aside for special assignments with deadlines. Creative thinking may involve assisting callers or visitors by determining their need and responding to their requests or directing them to the proper County department for assistance, and responding to unexpected assignments or interruptions.

INTERNAL AND EXTERNAL CUSTOMER CONTACT
Employee has contact with Commissioners, Aides, County Administrator, Deputy County Administrator, Assistant County Administrator and other staff, responding to inquiries, providing specific information requested, scheduling meetings, and obtaining signatures for documents. Employee has contact with citizens to provide them with information on problems or concerns they may have, or put them in contact with the correct individual who can assist them.
EQUIPMENT AND TOOLS USED
Tools and equipment used include, but may not be limited to, computer, word processing software, electronic document scanner, typewriter, telephone system, copier, fax, laminator and calculator.
WORK ENVIRONMENT AND PHYSICAL DEMANDS
Work is performed in an office setting. Physical demands include standing, walking, sitting and handling objects.
KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of proper formats, grammar and spelling. Knowledge of standard office machines. Knowledge of personal computer software in a windows environment. Ability to communicate clearly, effectively and tactfully. Skill to perform in a busy office with multiple phone lines. Capable of taking/recording and transcribing minutes of meetings, as needed. Ability to perform fast, accurate typing/word processing to prepare correspondence. Ability to efficiently and accurately schedule meetings and appointments. Ability to follow through on assignments without supervision and with attention to detail. Ability to efficiently organize and prioritize assignments and meet deadlines.
MINIMUM QUALIFICATIONS
Requires a high school diploma or equivalent and four years of administrative and/or clerical work experience, or an equivalent combination of training and experience.
