JOB SUMMARY:
Reporting directly to the Executive Director, the Executive Assistant provides executive support in a one-on-one working
relationship. The Executive Assistant serves as the primary point of contact for the Executive Director and serves as a
liaison with the Board of Directors. Must be a professional with a friendly attitude and the ability to multitask to serve as
our company’s front desk receptionist. This position will greet guests entering the building and help direct them where
they need to go. In addition, you’ll be responsible for answering and managing the phones. The Executive Assistant must
be creative and enjoy working within an environment that is mission-driven, results-driven, and community oriented. The
ideal individual will have the ability to exercise good judgment in a variety of situations and will possess strong written
and verbal communication, administrative, and organizational skills. The ability to maintain a realistic balance among
multiple priorities is imperative. The Executive Assistant must be able to work under pressure at times to handle a wide
variety of activities and confidential matters with discretion.
ESSENTIAL FUNCTIONS:
Provide comprehensive support services to the Executive Director that ensures outstanding communication and
responsiveness. Greet people entering the building, answering any questions, providing directions and alerting staff when
someone is there to meet or visit them. Answer a multiple line phone system, manage calls by routing them to the proper
extensions or taking messages and delivering them within our message system along with setting up conference/ZOOM
calls as requested. Manage the building log of who is entering and exiting the building. Accept deliveries and mail,
organize them to be distributed to the correct recipients using the office mailing system and ensure they get to the
recipient in a timely manner while also managing outgoing mail and packages for pickup. Serve as the face of the
company, offering friendly service to those entering the building or calling in on the phone. Maintain the reception area,
keeping it clean and free of clutter. Assist new applicants who come into the building to apply for positions, including
providing them with applications, pens and clipboards along with any reference material they may need, such as telephone
directories or Wi-Fi passwords. Provide sophisticated calendar management; prioritize inquiries and requests,
troubleshoot conflicts with little guidance, make judgments and recommendations to ensure smooth day to-day
engagements. Support Executive Director with internal and external communications. Conduct research and analysis on
issues of interest to the Executive Director. Support and manage a high-volume of requests and projects to meet the
objectives of the Executive Director. Prepare and edit correspondence, presentations, reports, and memos. Complete
expense reports and manage correspondence with vendors. Support the Executive Director in strategic communications,
organizational strategy, and all other special projects as assigned. Organize meetings and events for convenings, retreats,
various board meetings, and other logistics. Serve as a liaison to Board of Directors. Maintain quality filing and
communications systems including contact management, document management, and archiving. Manage Executive
Director’s/Agencies social media accounts. Support Executive Director with donor/funder/event relations. Opens agency
doors at 8:00 AM and locks and secures the agency at 4:00 PM. Understands and maintain community resource
information. Assist the Executive Director with preparing, copying, and/or distributing general agency information,
agendas, senior management team minutes and correspondence. Process HIPAA compliant faxes and ensure they are
linked to proper person. Assist in other administrative tasks as needed.
ADDITIONAL REQUIRED JOB DUTIES: Other duties as assigned.
QUALIFICATIONS, EDUCATION AND EXPERIENCE REQUIRED: 2 years related work experience, 3 years
college in human services.Familiarity with non-profit sector. Strong interpersonal skills with the ability to take initiative,
multi-task, be a team-player, be flexible, adapt to shifting priorities, and prioritize work. Excellent communication skills,
both verbal and written. Demonstrated writing and analytical skills. Excellent organizational skills, commitment to
accuracy and attention to detail. Ability to access a wide range of sources and networks for information. Good judgment
and ability to function independently. Good working knowledge of all Microsoft Office applications, Google Suite, and
social media web platforms. Ability to handle sensitive and confidential situations with diplomacy. Highly experienced in
electronic communications.
PHYSICAL REQUIREMENTS: Occasional climbing, balancing, stooping, kneeling, crouching, reaching and
crawling. Perform occasional work involving exerting 10-25 lbs. of force occasionally, or 10-15 lbs. of force frequently,
or an amount greater than negligible and up to 10 lbs. constantly to move objects.
LICENSES AND SPECIAL REQUIREMENTS: Position is subject to a background check and pre-employment drug
screening. Must take TB test/screening annually. Must have CPR and First Aid Certification bi-annually (in-house
training course available on site). Attend and successfully pass basic MANDT training.
