McLane Middleton, a leading New England-based law firm has a unique opportunity for a Client Executive Administrator in our Manchester, New Hampshire office. The Client Executive Administrator is a key member of the Trust and Estates Practice Group and will report to one of the Directors of that group. The ideal candidate should be an individual who is a team player, enjoys a fast-paced demanding environment, has the ability to multi-task, is well-organized, has great time management skills, is proficient with technology, and maintains a positive attitude.

RESPONSIBILITIES:

  • Manage a high profile, dedicated client file by taking direction from the client and internal members of the McLane team which may include Trust and Estates Directors, paralegals or members of the Trust Services Group.
  • Coordinate, monitor and direct third-party advisors to include tax professionals, real estate professionals, financial experts, subject-matter experts, and local counsel assisting the client around the world to achieve the client’s goal(s).
  • Receive and review incoming mail and coordinate appropriate information to the required third party advisor.
  • Proactive account management for various entities to include bill pay services.
  • Triage legal documents for a diverse set of activities both domestic and international and forward to appropriate subject matter expert.
  • Manage the proper set-up of account records, including payments, fee schedules and tax records for easy access and retrieval.
  • Communicate and coordinate with internal and external dedicated teams and to comply with strict administrative processes, including the preparation and execution of Consents for various business activities. Managing risk and privacy concerns by monitoring all activities and ensuring policies and procedures are followed while maintaining extreme confidentiality.
  • Perform additional special projects, as needed

EDUCATION, SKILLS AND EXPERIENCE:

  • Six+ years of prior experience in various areas of the legal profession or equivalent type of experience which may include trust and estate, accounting, family office, trust company, corporate, real estate, or high level personal/executive assistance.
  • Bachelor’s degree or Associates degree in paralegal studies with relevant experience required.
  • Proficient experience with Microsoft Office, including Outlook, Word, and Excel. WealthHub, Quickbooks, and Bill.com experience would be a plus. Proven ability to learn new software systems quickly and efficiently.
  • Ability to demonstrate impeccable integrity in personal and fiduciary matters and maintain the highest level of confidentiality.
  • Interpersonal skills necessary in order to communicate with a diverse group of internal and external clients and provide information and “customer service” with courtesy and tact.
  • Excellent verbal and written communication skills
  • Excellent organizational skills with a strong attention to detail.
  • Must be able to work effectively and efficiently, both independently and collaboratively, within a team environment.
  • Ability to work in a fast-paced environment.
