Summary/Objective

Our Agency works and assists in taking care of our senior citizens. An Accounting Assistant contributes to our success by making sure the Agency’s finance and administrative tasks are organized, efficient, and timely for all MSSS stakeholders. Along with working with the greatest generation, you’ll be making sure billings are maximized and payables are spent wisely for senior services. Essential Functions

  • Bank deposits: code and process daily bank deposits from operating account; verify housing deposit if needed; make deposit slip copies for CPA.
  • Gift shop: process daily gift shop cash box and ensure appropriate amount is available for following day; record daily sales amount in spreadsheet; record daily inventory sold in spreadsheet; verify information on inventory spreadsheet by phone with gift shop personnel; process payments for disbursement to reimburse vendors and consignees.
  • Verify service numbers for billing and request correction to SAMS database after monthly service reports are printed.
  • Mail: receive and sort all incoming mail, make bank statement copies for CPA.
  • Bingo: verify weekly bingo deposit, record in spreadsheet, and file.
  • Accounts payable: process payment requests 5th and 20th of each month.
  • Medicaid Waiver billing: use Meditrack software to bill transportation, escort, ADS, day habilitation, congregate meals, and home delivered meals.
  • Billing: use QuickBooks to bill private pay and insurance for ADS, Chore & Respite.
  • Billing transportation: line by line verification of client transport date, time, and destination listed on daily driver logs. Bill to Pioneer Home, Prisoner Reentry Program, and Mental Health Court using QuickBooks. Bill medical rides for regular Medicaid and Medicaid Waiver clients using Meditrack.
  • Obtain barrier crime fingerprints for applicants, employees, and volunteers.
  • Accounts Receivable: process incoming payments, log in ledgers and record in billing software.
  • POC/Amendments: verify and sign Medicaid Waiver plans of care and amendments; copy and distribute to appropriate departments; update waiver client spreadsheet and billing software as needed; verify service authorization information through Conduent Enterprise system when approved POCs/amendments are received; update billing software with service authorization information; track usage of service units monthly to ensure available units for remainder of plan.
  • Waiver status change: receive waiver status changes from care coordinators and distribute notification of changes to appropriate service department.
  • Outdoor sign: update and post messages.
  • Website: update as needed.
  • Prepare and submit NSIP claims.
  • Reconcile and recommend resolution for report discrepancies and problems.
  • Coordinate and prepare pertinent information for external accounting firm and auditors.
  • Work safely and recognizes potential unsafe situations. Reports incidents or near misses. Take appropriate action to ensure safety of seniors, co-workers’ and self.
  • Maintain professional confidentiality regarding personnel, contractors, and vendors.
  • Comply with OSHA safety and health regulations.

Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

This position works in a professional office environment. The position frequently uses standard office equipment such as computers, phones, copiers, fax machines, scanners and other standard office equipment.

Physical Demands

This job is largely sedentary; however, filing is frequently required. This would require the ability to lift files or banker boxes up to 25 lbs., open filing cabinets, and bend or stand as necessary.

Position Type/Expected Hours of Work

This is a full-time position. Evening and weekend work frequently may be required as job duties demand.

Travel

No travel is expected for the position.

Required Education and Experience

  • High school diploma
  • 4 or more years of related accounting experience
  • Overall business acumen in departmental operations, human resources, marketing, IT, etc.

Preferred Education and Experience

  • Degree in Finance or closely related to the general principles of finance.

Additional Eligibility Qualifications

Experience working for profit or non-profit

Work Authorization

Must be able to pass a background check.

Must provide references.
