Sr. Administrative Assistant - HYBRID

*Position Overview*
This position provides administrative support to the Vice President of Research & Development and must be flexible commuting to both the Manchester and Ann Arbor offices. Duties include performing a wide variety of high-level project tasks including maintaining calendars, coordination of project follow-up’s, developing presentations, arranging/planning meetings, purchasing supplies, running reports and other administrative functions as required.

  • Essential Responsibilities and Duties: *

  • Provides administrative support by coordinating follow-ups, preparing reports, presentations, update spreadsheets and support onboarding of new coworkers
  • Maintains calendar for VP of R&D and assist coordinating high level meetings
  • Plans/organizes R&D group meetings and conferences
  • Provides support and coordination to ensure customer meeting excellence
  • Run reports/assists to resolve list of open PO’s commitments and unpaid invoices for the department
  • Create expense reports with proper backup for processing
  • Orders/maintains inventory of administrative office supplies; updates database of idle office equipment to support cost savings initiatives.
  • Monitors/maintains office workspace organization and ensure cleanliness and safety standards are utilized in the mezzanine.
  • Reconciles Purchasing Card statement monthly and submits for approval.
  • Organizes/plans/manages a diverse range of assignments and projects with high efficiency and thorough attention to detail and follow through; versatile and able to adjust to changing priorities and deadlines in a fast-paced environment.

Qualifications: *

  • Education: Associate’s degree required in a business related field, bachelor’s degree preferred
  • Minimum 3 years of administrative support experience with senior level managers or equivalent
  • Excellent typing speed and accuracy; Strong verbal and written communication skills.
  • Excellent working knowledge of proficiency in Microsoft Office –(Word, Excel and Teams) Powerpoint and Sharepoint experience are preferred.
  • Outstanding ability to maintain and deal with confidential information.
  • Demonstrated professional work characteristics, high initiative, dependability, and credibility.
  • Must be well organized, possess outstanding administrative skills, and be able to interface with all levels of management.
  • Demonstrated ability to work with minimal supervision to organize and manage several executive offices.
  • Travel < 10%
