UW Facilities manages the University’s buildings, infrastructure, and land, with more than 1,100 employees in a variety of fields. The Asset Management group includes Campus Architecture and Planning, the Project Delivery Group, the Office of Sustainability, and Engineering Services, and are collectively responsible for planning and workload management. We have an outstanding opportunity for a Space Data Analyst.

The Space Data Analyst is an integral part of the Campus Architecture & Planning team and will support strategic planning activities and data deliverables.

Position Purpose

The Space Data Analyst position in Campus Architecture & Planning (CAP) provides leadership and expertise in campus facilities space data management and analytics in support of strategic stewardship of the UW’s built environment. As a member of Campus Architecture and Planning (CAP), reporting to the Assistant Director/ Associate Architect, the Space Data Analyst will holistically collect, edit, analyze, and report on campus space metrics and trends. Additionally, the position will perform physical audits of space use and support recommendations regarding standards and guidelines for utilization, identify gaps in existing data, develop programs and procedures to fill those gaps, and continuously strive toward process improvements that result in reliable and accurate space and location data for UW Facilities and partner departments across campus.

As the key liaison between UW Facilities and Units in the pursuit of ensuring accurate space data, this position requires adept communication and creative skills to collaboratively develop tools and resources to assess and report on space metrics and utilization to maximize the effective and efficient use of limited campus resources.

Primary Duties and Responsibilities

Management of Space Data (40%)

  • Utilize InVision, a space management software system, to support maintenance of an accurate, campus-wide resource of facilities space data.

  • Confirm the accuracy of room data against CAD floor plans and document needed revisions. Familiarity with AutoCAD software and experience reviewing architectural plans preferred.

  • Review user submissions of academic/ unit data and encourage timely submission through follow-up and regular communications.

  • Create and distribute space use surveys. Knowledge of Google survey and/or similar tools.

  • Utilize other campus data systems such as PMWeb (project management) and Asset Inventory.

  • Coordinate with units outside CAP to provide accurate space and location data in support of their business needs.


  • Analysis and Reporting (25%)

  • Utilize InVision and other data systems to perform queries and prepare reports relating to space assignments, efficiency, and utilization. GIS mapping and data visualization skills desired.

  • Demonstrate proficiency using Excel spreadsheets for data analysis and reporting.

  • Develop reporting metrics and analysis tools to align with key performance initiatives.


  • Planning Support and Special Projects (30%)

  • Develop goals and metrics to achieve effective and efficient use of campus space.

  • Develop and assess impact of space allocation standards.

  • Prepare PowerPoint presentations for UW senior leadership on the state of campus space.

  • Prepare reports, dashboards, and other tools for CAP to assess and compare space allocation and utilization across campus specific to room types, colleges, technology, condition, etc.


  • Other Duties (5%)

  • Collaborate with related Asset Management/ Supporting groups to expand software planning capabilities.

  • Other duties as assigned.

  • Requirements include:

  • Bachelor’s Degree in architecture, planning, data analysis or related field.

  • Four or more years’ facilities planning and space data management experience.

  • Working knowledge of InVision or similar space management software systems.

  • Analytical skills to create, interpret and compare space planning scenarios.

  • Ability to read architectural plans.

  • Proficiency with Excel, Microsoft Office, Google Survey, and teleconferencing technologies.


  • Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    Desired:

    • Direct responsibility managing data with InVision or similar space management system.
    • Experience working in a higher education setting.



    Conditions of Employment:
