Job Description :

We are looking for a responsible Service Coordinator/Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Service Coordinator/Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Service Coordinator/Administrative Assistant responsibilities include answering phone calls and entering service calls into the service program, Entering billing and receiving into QuickBooks. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like Excel, Google Drive and Quickbooks. If you have previous experience as a Secretary or administrative assistant , we’d like to meet you.

Responsibilities

  • Answer and direct phone calls
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Provide general support to customers by phone or email.
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
  • Accounts receivable and payable
  • Entering work orders and adjusting technicians schedules.
  • Manage and maintain all customer information.
  • Update spreadsheets with new customer information from Blue Haven Pools
  • Review all billing and enter into QuickBooks
  • File, enter, and follow up on Warranty Parts/Transactions
  • Answers all customer inquiries in a timely and professional manner
  • Respond to emails in a timely manner and file as required
  • Schedule service calls as required
  • Create purchase orders and dispense as needed
  • Enter vendor invoices as needed
  • Enter Warranty deposits as required
  • Collections on past due A/R
  • Attention to detail and demonstrated ability to follow standard procedures is a requirements

Skills

  • Proven experience as an administrative assistant or office admin assistant.
  • Working knowledge of office equipment
  • Exemplary customer service skills
  • Proficiency in Excel, and Quickbooks.
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High School degree; AA degree preferred
  • Experience as an Administrative assistant or coordinator a plus

Pay: $45,000.00 - $55,000.00 per year
