Lisa's Clarinet Shop is a 42 year old clarinet and woodwind repair shop. We have one other location in the midwest.
The ideal candidate for our operations position will be an excellent communicator, detail oriented, ideally have a musical background- play a woodwind instrument- and be able able to create and maintain an efficient system of operation to support the business needs. The right candidate should be comfortable multitasking and working cross-functionally with different business units. The ideal candidate will have previous experience in related fields.
While we listed this position as full time, its more like a 30-35 hour a week position.
Responsibilities Include:
Order Processing
· Processing sales orders - creating shipments/transfers, shipping labels, invoicing
· Communicating with customers – sending tracking/invoices for orders shipped, Sending return shipping
labels to customers
· Charging customer orders, deposits, charging remaining balances after closed sales
· Processing applications for financing through Synchrony, submitting transactions through Synchrony Business and Cardconnect/Cardpointe
· Issuing refunds to customers, when necessary
Inventory Management
· Processing inventory transfers, returns, trade-ins/consignments
· Receiving inventory/shipments from purchase orders in NM and IL locations
· Managing monthly physical inventory with inventory management team, reporting on and reconciling physical
inventory
· Creating/updating items and item kits in SOS, as necessary
· Keeping products/purchase costs and sale prices updated in SOS inventory and LCS website (WooCommerce)
Operations/Purchasing
· Maintaining stock of office supplies, ordering as necessary
· Scheduling cleaning, creating and posting updated calendars for the shop (monthly)
· Creating purchase orders and sending to vendors, purchasing inventory as needed such as clarinets, accessories, repair supplies, etc.
· Maintaining NM shop; contacting maintenance as necessary
Reporting
· Running and sending reports for sales/commissions (Approval and New Purchase spreadsheet, weekly)
· Reporting on weekly cash flow, money coming in and orders to be charged (weekly)
· Reporting on money owed by customers (Accounts Receivable, weekly)
· Reporting on money owed to customers/vendors (Accounts Payable, weekly)
· Creating inventory reports for physical inventory count with inventory management team, monthly
