Job Description :

Position: Front Office and Operations Manager

Schedule: Flexible Monday to Thursday 7am or 8am to 4pm and Friday 7:00am or 8:00am to 2pm

Salary: $16 - $22 per hour, depending on experience and cultural alignment plus up to 20% bonus

We are seeking a dynamic top contributor that loves interfacing with and uplifting customers, suppliers, and fellow employees. Our office manager is highly organized and detailed oriented and committed to making the company and its team members shine. Our company consists of 12 high-end furniture and art restoration specialist working in our 11,000-square-foot production shop and on-the-road technicians.

Daily Functions:

Scheduling:

o Sets up and manages appointments for on-the-road and pick-up and delivery crews.

o Prepares and monitors weekly production targets.

o Ensures that appointments and production targets are met on time and within budgets.

· Communications:

o Answers office phone calls and correspondence using MS. Outlook and Word.

o Interfaces regularly and effectively on the phone and email with customers, partners, suppliers.

Bookkeeping:

o Enters estimates, invoices, and expense entries using QuickBooks online.

· Records Management:

o Prepares inspection reports, job proposals, and quotes.

o Creates and updates management and operations reports using QuickBooks and MS Excel.

Supply Management:

o Places and tracks supply orders.

o Get estimates from subcontractors.

Payroll:

o Keeps human resource records up to date, collecting and certifying employee timecard entries, and supporting payroll processing.

Compliance:

o Ensures that business is conducted following company and government safety and regulatory policies.

· Commitment to creating a great office and company culture, including promoting collaboration to achieve goals more effectively.

· Exercises strong business acumen. That is, it understands and promotes the company's business needs, particularly the imperative to generate profits, keep expenses to the bare minimum, and ensure a culture of honesty and equity.

· Exercises flexibility to handle in good cheer multiple and changing personal and office priorities.

· Understanding of moving liability claims, property damage insurance claims, restoration services, and/or project management is a strong plus.

· Knowledge of customer relationship management, field workforce scheduling, and project management and computer applications to facilitate these is also a strong plus.

General Functions

· Problem-solving devises and anticipates solutions to adapt to unexpected and changing customer, production, and delivery situations. Identify these, prioritizing them, come up with solutions and coordinate resources to resolve these with a positive attitude and in a timely and cost-effective fashion.

· Deals with issues as they arise in a cool, calm, and professional manner.

· Process management: develops, maintains, and improves processes and brings the team along to embrace and contribute to these.

· Exercises attention to detail to make sure that everything is running smoothly (from negotiating supplier arrangements, ensuring that projects are getting shipped on time, customers are paying, road techs are where they are supposed to be, etc.).

· Focuses on adding value and helping others in the organization to do likewise.

· Office communications: Proactively ensures that important information is being gotten where needed at the right time.

· Is tech savvy in troubleshooting office equipment and/or leading in resolving technical issues impacting phone, computer systems, etc. needed to effectively run the company.

Qualifications

· English (Required).

· US work authorization (Required).

· Preferably associate or bachelor’s college degree or equivalent experience.

· Experience as a moving or damage claim adjustor, insurance claims, or moving industry is a plus.

Pay: $16.00 - $22.00 per hour
