Responsibilities


The Legal Ops Manager/Executive Assistant will provide legal operations, communications and project management and high-functioning executive administrative support to the Chief Legal Officer keeping the executive productive by managing the legal and compliance department operations and managing and organizing workflow, calendars, travel, expenses and other projects as well as. Demonstrated ability to effectively and professionally interface with high level executives, business associates, and employees. Perform in a fast-paced environment with ability to operate with changing priorities.

Responsibilities: Essential Duties:

  • Legal Ops Planning & Project Management:
    • Effectively manage and assist the administrative operations for the Legal/Compliance department
    • Create actionable steps, to complete projects & follow-up with all involved stakeholders to ensure tasks are on track for completion
  • Support framework for the department’s client facing services, matter management & shared knowledge resources through intranet, Sharepoint, Teams and legal ops tools
    • Navigate new legal operations SW applications & digital tools in order to remove data silos and gain actionable insights
    • Create executive communications/dashboards to track and report on Legal department activity, including matters and spend
    • Create processes to improve communication, legal workflows & dept. organization
  • Organize team culture & employee engagement initiatives like, team building events, rewards & recognition and celebrations
  • Strategic Meeting Support:
    • Define, implement, and manage an on-going meeting operating cadence for CLO & her organization, including 1-1s, staff & department meetings, strategic reviews, and communications
    • Drive face-to-face and virtual planning session agendas and content preparation activities in support of all internal forums and staff meetings
    • Equip the CLO to present at key executive meetings and internal/external events

  • Communications:
    • Possess strong communication & relationship management skills by effectively interfacing with employees from other groups and senior executives inside and outside the company with excellent written and verbal communication skills
    • Access highly sensitive info in CLO’s email and exercise extreme discretion to help prioritize messages and respond on CLO behalf when needed
  • Create structure, content & brand for department communications
  • Provide executive administrative support for the Chief Legal Officer (CLO):
    • Manage complex, fast-changing calendar, using sound judgment in mapping out day-to-day meetings, events, and responsibilities
    • Manage travel and expenses

Assist with PowerPoint presentations, Excel charts & other MS Office and Google app

Expertise: Knowledge & Skill Requirements:

  • Experience with scheduling, project management, managing executive daily activities, and delivering results in a cross-functional environment
  • Ability to think creatively and be a problem solver, adaptable and results-driven while providing excellent organizational skills
  • Demonstrated ability to support executive leadership with advanced written and verbal communication skills
  • Highly motivated, self-starter with strong leadership, planning, organizational, multi-tasking and project management skills.
  • Excellent technology skills, including Microsoft Word, Excel (pivot tables, charts, formulas), SharePoint, Microsoft Forms, and Power Point. Ability to learn other legal operations and data analytics tools
  • Proactively plan to achieve timely results of assignments and projects by following instructions and taking directions through to completion.
  • High-level stakeholder engagement and ability to collaborate and build relationships with all levels of leadership
  • Proven ability to handle confidential information with discretion

Expertise: Qualifications - Experience/Training/Education/Etc.:

Required:

  • Five or more years of legal operations support experience or executive assistant or similar experience.
  • Bachelor’s degree, supplemented by specialized course work or training in the use of word processing, spreadsheet, presentation, and database software application programs.
  • Must have excellent organizational, communication and interpersonal skills.
  • Ability to prioritize projects, take initiative and work independently.
  • Demonstrated ability to embrace and champion change

Desired:

  • Previous experience in fast paced environment, preferably in a large company corporate legal department
  • Experience supporting C-suite leaders
