Job Summary:

The Human Resource Coordinator acts as a Koozie Group Ambassador, aids with and facilitates the human resource process at the Red Wing facility. This role provides administrative support to the human resource function, including but not limited to record-keeping, file maintenance, HRIS entry, onboarding, and providing administrative support to all employees.

Responsibilities:

  • Provides exceptional service to internal and external customers in person, via phone, and via email
  • Ensures guests are taken care of upon arrival and contact appropriate personnel upon arrival at Red Wing facility
  • Assists with scheduling and conducting interviews
  • Aids in the onboarding process as a Koozie Group Ambassador to selected candidates
  • Welcome to the team emails and KG point of contact
  • Ensures all pre-employment facets are completed by each candidate and steps are appropriately recorded using various site tracking tools
  • Ensures background submissions are completed
  • Monitor results, escalate for review as needed
  • Ensures drug screens are completed and/or scheduled as needed
  • Monitor results, escalates as necessary
  • Acts as the candidates point of contact through the onboarding process, answering or redirecting follow up questions
  • Sends welcome communication to new hires
  • Completes Forms I-9, verifies I-9 documentation and maintains I-9 files.
  • Submits online investigation requests and assists with new-employee background checks.
  • Conducts drug screenings for new hires
  • Assists with processing of terminations.
  • Assists with recruitment and interview process. Tracks status of candidates in HRIS and responds with follow-up letters at the end of the recruiting process.
  • Schedules meetings and interviews as requested, assists with planning/coordinating/purchasing for engagement events and initiatives
  • Ensures technology and tools are ready for new hires on start date by communicating acceptance to hiring managers and ensuring direction of technology requests
  • Prepares new-employee files, enters data into HR Portal to ensure ADP, Kronos, and IT setup up and completes Oracle set up.
  • Makes photocopies; mails, scans and emails documents; and performs other clerical functions.
  • Files documents into appropriate employee files.
  • Assists or prepares correspondence as requested.
  • Processes mail.
  • Assists/backup with our Kudos/Swag incentive and Keep it Give it programs
  • Performs other related duties as assigned

Qualifications:

  • High School Diploma/GED or equivalent education required, bachelor’s degree in HR or equivalent field preferred
  • 2+ years of HR experience highly preferred
  • At least 18 years of age or older
  • Working understanding of human resource principles, practices, and procedures
  • Experience with HR Databases and HRIS systems (ADP, Adaxes, Oracle, and Kronos highly preferred)
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Ability to handle data with confidentiality
  • Ability to function well in a high-paced and at times stressful environment
  • Proficient with Microsoft Office Suite or related software
  • Familiarity with social media functionality for community engagement posts and recruiting
