The Front Desk Coordinator role supports all operational and administrative functions of the office while maintaining a professional, collaborative, and productive environment. Responsibilities include guest services, facility maintenance, and support duties.
Job Duties/Essential Functions:
Guest Services:

  • Act as first point of contact at the front desk during business hours, assisting team members and prospective guests and answering calls and emails.
  • Proactively attends to the varying needs of the workplace to ensure all business functions are running seamlessly and provide strategic and problem-solving solutions in a timely and professional manner.
  • Proactively supports the daily administrative needs of the office
  • Addresses office concerns and ensures prompt resolution.
  • Assist with fostering a sense of community within the workplace through daily interactions and monthly events.

Facility Maintenance:

  • Oversees vendor management for the office and weekly supplies order
  • Regularly conducts quality control walkthroughs to address immediate issues, potential future issues and identify areas for improvement, when required.
  • Enforces location cleanliness through workplace walk throughs to ensures cleaning and pantry responsibilities are executed daily, to the standard of excellence and immediately resolves substandard concerns
  • Coordinates maintenance and repair requests with the corporate operations manager
  • Ensures the shared workspace and conference rooms are tidy and clean (i.e., tidy the kitchen and walk through the conference room 3 to 4 times a day).
  • Ensures that the shared workspace is comfortable working environment (i.e., manage temperature control, music etc.).
  • Checks mail and package delivery and distributes accordingly.
  • Conducts opening walk through procedures on a daily basis.
  • Conducts closing walk through procedures on a daily basis.

Support

  • Provides first line of support for all administrative issues.
  • Ensures work orders, and maintenance projects are being resolved in a timely manner to ensure the standard of excellence is met
  • Assists with coordinating office meetings and events
  • Other duties, as assigned.

Skills/Qualifications:

  • Ability to follow verbal and written instructions.
  • Ability to write clearly and concisely.
  • 1+ year work experience in office environment
  • Proficient in Microsoft Suite
  • Exceptional customer service standards
  • Is adaptable, open to change, and resilient
  • Collaborates within and across departments
  • Willingness to learn and personally develop
  • Exhibits high level of integrity and honesty
  • Has passion, purpose, and vision

Physical Requirements:

  • Able to stand/walk up to eight hours at a time.
  • Able to lift up to 40 lbs.
  • Able to move equipment which would include pushing, pulling, stooping and shoving, and bending.
  • Able to work in a noisy environment.
  • Ability to climb stairs.

Expected Hours of Work: Flexible work hours, including but not exclusive to busiest times, weekends, holidays, and nights
Testing/Work Authorization:

  • 18 years of age or older.
  • Pre-Employment Background Check Required.
  • Valid U.S. work authorization required.

Job Type: Full-time

Pay: $20.00 - $25.00 per hour
