JOB SUMMARY
The Foundation/CECC Office Assistant is responsible for providing clerical support of the Carolina Foothills Foundation and the Carolina Event & Conference Center. This position provides various clerical and administrative office tasks.
LINE OF AUTHORITY
1. Supervised by: CEO
2. Channels of communication: Works with all team members to accomplish the job, especially the Event
Coordinator and the chain of command will be maintained at all times to uphold the open lines of communication throughout the Elder care agency.
QUALIFICATIONS
1. Education: Associates/Bachelor’s degree preferred.
2. Experience in the hospitality or customer service field required.
3. Experience: Minimum of two years in office procedures, word processing and office equipment.
4. Valid driver’s license in good standing and current auto insurance.
5. Excellent communication and organizational skills. Ability to multitask.
6. Ability to perform work of a confidential nature requiring a high degree of integrity.
7. Ability to perform duties with a high degree of independence, receiving a minimum of detailed supervision and guidance, requiring the use of initiative and judgment.
8. Ability to be punctual and handle tasks in a timely manner.
9. Proficient with Microsoft office products.
10. Physical requirements: Must be able to bend, stoop, and able to lift a minimum of 25lbs, ability to use fine motor skills, ability to sit for long periods of time, view computer screen for long periods.
DUTIES AND RESPONSIBILITIES
1. Performs various clerical and administrative office duties as needed for the foundation, event center, and eldercare.
2. Take eldercare referrals when staff is out of the office.
3. Provide phone coverage for entire Foundation and Works closely with the Event Coordinator.
4. Open/closes the CECC daily and offers tours as needed.
5. Ensures cleanliness of the building advising housekeeping.
6. Willingness to become serve safe certified, ensures health dept. rules are kept and conducts fire drills.
7. Data entry for organization and filing as requested.
8. Demonstrate a positive attitude and working relationship with staff members and others.
9. Carry out position responsibilities in a manner that exemplifies excellent customer service.
10. Consistently represent the Carolina Foothills Foundation to all internal and external customers with integrity and professionalism, serving as public relations representative at all times.
11. Process donations and acknowledgements. Run daily reconciliation reports, prepare monthly donation graphs, quarterly donation list used in publications, print mailing labels from donor software and/or patient software, send end of year donation statements and other reports as requested.
12. Maintain accurate donor database daily using obituaries, returned mail and donor information, weekly by entering acknowledgement information from Hospice reports and periodically by adding individuals and groups to donor database.

14. Adhere to all policies and procedures and Standards of Conduct.
15. Support and may oversee activities and functions of the Center when needed.
16. Perform other related duties as required in order to accomplish the overall goals of the organization.
