Shannon Metcalf Realty is looking for an Executive Assistant that loves being in a support role, and working behind the scenes. The ideal candidate has customer service and marketing experience. And is a positive individual, that is service oriented, works well alone and as a team player, and is in alignment with the mission of the company. This person relishes the opportunity to build, implement, and manage multiple systems with minimal supervision. The Executive Assistant is deeply committed to completing tasks the right way with a high degree of quality, attention to detail, and consistent communication. This person has immense focus and can do one thing for a long time without getting distracted.

An Executive Assistant is deeply committed to supporting the lead agent in achieving greater and greater levels of success, and to growing his/her own skills and developing into a supportive leader within the team. As the success of the team grows, this individual will be responsible for hiring, training, and leading additional team members to ensure all administrative tasks of the lead agent’s business continue to be completed to high standards with maximum efficiency.

EXECUTIVE ASSISTANT PRIMARY RESPONSIBILITIES

  • Client Care - Maintain open lines of communication with clients and assist in them having a superior experience before, during and after the transaction
  • Transaction Coordination - Oversee all contracts through closing
  • Marketing - Implementing our annual marketing plan, including marketing of listings, business & events via social media, email and mail
  • Event coordination for our client appreciation and other team events
  • Running errands
  • Email & Phone management for the lead agent
  • Keeping open communication with the lead agent informed regarding client care, day to day operations of the business and any problems or issues that need to be handled
  • Create and maintain an operations manual that documents all systems and standards
  • Build, implement, and manage all systems for sellers, buyers, lead management, database management, information management, and back-office support
  • Responsible for some financial systems, paying bills, maintaining the budget, and generating financial reports
  • Coordinate the purchase, installation, and maintenance of all office equipment and supplies
  • Assisting with hiring and training
  • If licensed, assisting team owner with showings, opening doors, attending client appointments

EXECUTIVE ASSISTANT ESSENTIAL DUTIES AND REQUIREMENTS

  • Ability to work alone, collaborating with the team owner, and team members (most will be solo work)
  • System development, implementation, and management
  • Experience supporting a leader one on one
  • Customer/Vendor relations
  • Transportation for errand running & smartphone

EXECUTIVE ASSISTANT KNOWLEDGE/SKILLS

  • Strong written and verbal communication skills
  • Strong computer and tech skills, including Microsoft, Google Workspace, Social Media Platforms, Canva & Mailchimp
  • Service-based attitude

  • 2 or more years exectuive assistant, administrative, support or customer service exprerience

  • Real Estate license is a plus

EXECUTIVE ASSISTANT COMPENSATION

This is a part time position located in our Boise office for 25-30 hours a week with flexibility to work occasional evenings and weekends as support is needed. The position has the ability to grow into full time as business grows, and if the candidate desires.

Pay is $19-24 per hour based on experience. Benefits include paid time off (PTO) for full time positions, annual performance bonuses and additional bonus opportunities after 120 days. If the candidate has a Real Estate license, some assistance with licensing fees will be provided.
