Description:POSITION SUMMARY: This position is responsible for providing a wide range of administrative support to the President and Financial Controller of the Company. The Executive Assistant is responsible for managing the schedules and communication of key company executives. Their duties include prioritizing emails and phone calls, gathering documents to prepare for meetings, managing vendor contracts and RFPs. The Executive Assistant will perform a wide range of administrative and office support and activities and aide the President in facilitating the efficient operation of the organization.

PROFESSIONAL SKILLS/Key Accountabilities: (Other duties and projects will be assigned, as necessary.)
1. Provides administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf.
2. Maintains accurate and comprehensive records.
3. Performs minor accounting duties.
4. Organizes meetings, including scheduling, sending reminders, taking meeting minutes, keeping track of meeting progress and follow up items and organizing catering when necessary.
5. Manages the executive’s calendar, including making appointments and prioritizing the most sensitive matters.
6. Assists in the development of presentations and materials requested by the executives.
7. Oversees and manages vendor contracts and solicitation of new contracts.
8. Works closely and effectively with the executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
9. May serve on special projects or committees and act as a project manager.

Requirements:

QUALIFICATIONS:*
Bachelor’s degree preferred
A minimum of three years office experience
Must be proficient with Microsoft Office, Word, PowerPoint and Excel
Excellent verbal and written communication skills
Detail oriented and good time management skills and ability to prioritize work
Demonstrates the ability to take initiative, anticipate needs and exercise independent/sound judgement
