POSITION SUMMARY:

The Executive Assistant provides primary administrative and organizational support to the Chief Executive Officer, Chief Operating Officer, and the Leadership Team.

Duties will include:

  • Maintains CEO’s calendar, contact lists, appointments, and gathers & prepares all necessary documentation and resources for scheduled appointments.
  • Anticipates/coordinates scheduling and advance notices for committees and events and maintains project schedules. Assists CEO to maintain schedule daily. Prepares for any potential barriers in advance and notifies the CEO.
  • Edits, writes, and disseminates original material i.e., flyers, brochures, newsletters, thank you letters, etc.
  • Acts as a resource person regarding Hospital procedures and general information.
  • Coordinates meetings and conference calls. Prepares agendas, takes minutes, maintains distribution lists, and disseminates materials.
  • Assists in developing material used in formal training or other company presentations.
  • Proficient in planning, coordinating, collaborative events and all related functions. This includes contracts, meeting materials, CEU’s/CME’s, and hosting events.

Job Requirements

Qualifications:

  • Bachelor’s degree preferred. Associates degree and/or 3+ years Administrative/Executive Assistant experience or a HS Diploma with 10+ years of Administrative/Executive Assistant experience required.
  • Experienced in settings where excellent customer service skills as well as independent problem solving are practiced.
  • Data gathering and analysis experience a must.
  • Experienced in managing and implementing contracts required.
  • Individual must be highly organized; detail focused with excellent time management skills.
  • Exhibits the ability to anticipate and predict daily and weekly needs of the Senior Leadership team.
  • Must be highly proficient in Microsoft Office Word and Excel, with excellent writing skills.
