Job Description :

The Executive Assistant provides general administrative and project support to various Company executives at the Charlotte, NC corporate headquarters. This position will require strong confidentiality and sound judgement as well as the ability to anticipate needs.

Duties & Responsibilities:

  • Operates in a highly-confidential environment requiring the highest confidentiality, sound judgment and discretion.
  • Provides general office administrative support for various Senior Executives when they are working in the Charlotte headquarters
  • Exercises sound decision-making; anticipates needs and conflicts; identifies potential problems and solves them independently or offers options and potential solutions for consideration.
  • Answers and screens calls, routing as appropriate.
  • Arranges internal and external meetings and conference calls.
  • Ability to act as a gatekeeper; elevate relevant information to executive as necessary.
  • Exercises sound decision-making; anticipates needs and conflicts; identifies potential problems and solves them independently or offers options and potential solutions for consideration.
  • Prepares documents for upcoming meetings/projects.
  • Requests and manages equipment maintenance.
  • Handles the sorting and distribution of mail as well as the ordering of office and kitchen supplies for C-suite.
  • Maintains file organization of electronic and printed documents, will copy and scan documents as needed.
  • Develops PowerPoint presentations and reports as requested.
  • Collaborates with other executive assistants and employees as necessary to coordinate schedules and manage executive appointments.
  • Greets visitors and executes visitor security protocols as defined.
  • Maintain suite housekeeping standards in all C-suite areas.
  • Composes routine and confidential correspondence.
  • Arranges detailed travel plans and itineraries for domestic and international travel.
  • Coordinates logistics, activities, communications and planning for a variety of on- and off-site meetings and special projects. Includes preparing agendas, compiling reports, arranging meeting locations, catering and room blocks.
  • Maintains a professional attitude and demeanor at all times.
  • Demonstrates excellent time management and task prioritization in a fast-paced environment.
  • Serves as suite Safety co-coordinator (with suite Receptionist) – stays informed of health & safety protocols, ensures employees exit the suite in the event of an emergency or drill, ensures first aid kits are stocked with fresh supplies.
  • Adheres to Company Code of Business Conduct and is accountable for and expected to integrate Glatfelter Core Values (Integrity, Financial Discipline, Mutual Respect, Customer Focus, Environmental Responsibility, and Social Responsibility) into their daily activities.
  • Performs other duties as assigned.

Education / Experience:

  • Experience – 5+ years of related administrative experience. 2+ years of experience supporting Senior Executives and/or a Board of Directors for a publicly traded company required.
  • Education – Bachelor’s degree preferred.
  • Proficiency in Microsoft Word, PowerPoint, Excel, and Outlook required. SAP experience preferred.
  • Travel approximately 10%
