Job Description :

Purpose:

Enhances the CEO’s effectiveness by providing executive and administrative support in a one-on-one working relationship.

Responsibilities:

  • Completes a broad variety of administrative tasks for the President and CEO including: managing an active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging travel plans, itineraries, and agendas; and compiling documents and briefing materials for meetings.
  • Plans, coordinates and insures the CEO’s schedule is followed and respected. Provides “gatekeeper” and “gateway” role, creating a win-win situations for direct access to the CEO’s time and office.
  • Communicates directly, on behalf of the President and CEO, with board members, donors, staff, and others, on matters related to the CEO’s initiatives and the organizations strategic plan.
  • Researches, prioritizes, and follows up on the incoming issues and concerns address to the President, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Provides a bridge for smooth communication between the CEO and internal departments; demonstrating leadership to maintain credibility, trust and support with executive leadership and management team.
  • Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a “barometer,” having a sense for the issues taking place in the environment and keeping the CEO updated.
  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the CEO.
  • Works with the CEO to track and manage projects; keeping the CEO appraise of the status and assuring deadlines are met.
  • Successfully completes critical aspects of deliverables with a hands-on approach with tasks that facilitate the CEO’s ability to effectively lead the organization.
  • Serves as the recording secretary and liaison to the boards of directors and board of trustees.
  • Creative problem solver, results-driven and community oriented.
  • Maintain a realistic balance among multiple projects while prioritizing conflicting needs; handling matters expeditiously, proactively, and follow-through on the projects to successful completion, often with deadline pressures.
  • Serve as the recording secretary for all boards.
  • Maintains all corporate records.
  • Adhere to compliance with applicable rules and regulations set in the bylaws regarding board and board committee matters, including distribution of meeting materials and minutes of all meetings.
  • Participates as an adjunct member of the Executive Team including scheduling and attending all meetings.
  • Assists in coordinating the agenda and meeting requirement for the executive leadership team and management team.
  • Supports and promotes a culture of compliance and ethical business conduct.

Qualifications:

  • High School graduate; college degree preferred.
  • 5 years related experience required.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with accuracy and excellent attention to detail.
  • Proficient and Microsoft Office and related software.
  • Strong interpersonal skills and the ability to build relationship with stakeholders, including staff, board members, external partners and donors.
  • Expert level written and verbal communication skills.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
  • Emotional maturity.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment.
  • Forward looking thinker, who actively seeks opportunities and proposes solutions.
  • Ability to meet the public, to deal tactfully and knowledgeable with their needs.
  • Must have valid driver's license, auto liability insurance and reliable transportation if driving is required.
  • Successful completion of pre-employment physical, drug screen, 2-step TB test and background check.

Working Conditions:

  • Physical requirements: Exerts up to 10 pounds of force occasionally and/or a negligible amount of force frequently.
  • Physical activities: Involves sitting most of the time but may involve walking or standing.
  • Environment: Works in well-lighted, climate-controlled environment.
  • Time: Ability to flex schedule and workable hours based on patient-driven census model (i.e., OT or reduced schedule)
  • Travel: Travel required between locations.
