Real Estate Investment & Development company is seeking an energetic and passionate Executive Administrator with Bookkeeping experience to join our team

The Executive Administrator is deeply committed to completing tasks the right way with a high degree of quality, attention to detail, and consistent communication. This person has immense focus and can do one thing for a long time without getting distracted. This individual may exhibit some drive and desire to influence; however, the overriding marker of his/her behavior is persistence and stability.

An Executive Administrator is deeply committed to supporting the Partners and team leads in achieving greater levels of success, and to growing his/her own skills and developing into a supportive leader within the team. As the success of the team grows, this individual could be responsible for leading additional team members to ensure all administrative tasks of the business.

Location

This position will work out of our Oakland Park/Fort Lauderdale location.

Responsibilities

  • Responsible for financial systems including maintaining the books, paying the bills, assuring the collection of outstanding invoices, maintaining the budget, and generating financial reports. Bookkeeping experience is essential in this role (ideally trained in QBO)
  • Assist staff accountant with month-end and other financial reports, as needed
  • Perform all administrative functions including data entry, drafting correspondences, scheduling meetings, and answering telephones.
  • Maintain Partner’s calendar and database
  • Assist Partners and team leads with marketing follow-up to sphere of influence and new potential clients
  • Assist in Building, implementing, and managing all systems for database management, information management, and back-office support
  • Assist transactional team with all contracts. Work with Operations team to create and maintain an operations manual that documents all systems and standards
  • Coordinate the purchase, installation, and maintenance of all office equipment
  • Be the first point of contact in handling customer inquiries or complaints
  • Keep the team leads informed regarding any problems or issues that need to be handled
  • Help communicate/celebrate our successes with clients and community via social media

Qualifications

  • Bookkeeping skills (ideally trained in QBO)
  • Familiar with G-suite
  • Familiar with Dropbox
  • Generally comfortable with software management systems
  • Familiar with Real Estate and/or Real Estate Development
  • Strong written and verbal communication skills
  • Exceptional organizational and project management abilities
  • Great ability to focus
  • Concerned about doing things the right way
  • Calm under pressure
  • Service-based attitude
  • High school graduate
  • Bachelor’s degree preferred
  • Public Notary preferred
  • 1 – 3 years of service and management experience preferred
  • 3 – 5 years of administrative experience preferred

Compensation and Benefits

The Executive Assistant a full-time salaried position.

The salary Range for this position is $45-$55k. We offer Medical, Dental and Vision insurance. Employees are given Paid Holidays and PTO.

Job Type: Full-time

Pay: $45,000.00 - $55,000.00 per year
