KEY RESPONSIBILITIES:


  • Assists outside sales representatives via phone and email with scheduling, order status, drawing status, expedite requests, shipping information, tracking, delivery, billing, freight issues or shortages or other matters in a manner that will maintain good customer relations.
  • Works with manufacturer and internal sales on order and shipping expedite requests from outside sales reps and customers.
  • Provides bills of lading, packing slips, delivery receipts, balance reports, commercial invoices and customs documents as requested by outside sales reps, customers or freight carriers.
  • Follows up on with purchasing on purchase requisitions for drop ship orders. This includes following up for status and tracking.
  • Advises outside sales reps on rework status of returned items.
  • Assists sales, product and order entry by managing the change order process.
  • Assists outside sales reps and customers with information on current or completed orders as well as drawings.
  • Handles internal and external credit requests for price discrepancies, returns, freight discrepancies and warranty.
  • Assist end user customers with locating the sales representative office in their area.
  • Provides specs and cut sheets for purchased parts.
  • Manages customer supplied product receiving process.
  • Processes no charge warranty issues or sales concessions for replacement components or product that are missing, wrong or damaged.
  • Assists with direction to correct department on all other questions or issues from internal or external customers.

QUALIFICATIONS:

  • Associates Degree preferred or equivalent experience
  • 2+ years working in corporate environment
  • Proficient computer skills, especially Microsoft Office applications
  • Ability to learn software systems, sales processes and product lines
  • Ability to manage multiple tasks/projects and deadlines simultaneously
  • Proven customer service/relations skills
  • Excellent interpersonal, verbal and written communication skills

PHYSICAL DEMANDS/WORKING CONDITIONS:


  • Standard office environment
  • Ability to occasionally lift up to 20 pounds
  • Ability to occasionally climb, balance, stoop, kneel, reach
  • Ability to work extended hours sitting at a computer
