JOB SUMMARY:

Under direct supervision of the Director of Clinical Operations, oversees the day-to-day clinic operations of OSS Health outpatient clinics (including satellite locations). Responsibilities include coordination of patient care and management of a professional team which includes multiple clinic and other staff as appropriate. Provides exceptional service to all customers and ensures staff members provide the same. Fosters teamwork; serves as a role model; and practices fiscal responsibility through improvement and innovation. Functions comfortably and efficiently in an EMR/paperless environment.

QUALIFICATIONS AND EDUCATION:

Education:

  • High School Diploma or GED required.

Qualifications:

  • LPN/RN required, with a minimum of 3 years of experience required.
  • Previous management in a clinic setting preferred.
  • Previous ortho experience preferred.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Clinic Operations

  • Participates in development of annual operating budgets and provides direction for the clinic unit, as necessary.
  • Coordinates and integrates services within the department as well as with other departments and facilities.
  • Oversees clinic operations for all orthopaedic locations, including satellites, on a daily basis.
  • Protects patient confidentiality by promoting professional staff communications.
  • Ensures quality control of clinic operations. Oversees the clinic operation– provides and supervises direct patient care and assessment.
  • Directs clinical coordinators and team leads, overseeing and directing clinic staff through monthly staff meetings, as well as daily interaction.
  • Oversees the clinic staff scheduling to ensure efficiency and appropriate coverage. With the assistance of the Clinic Operations Coordinator and Satellite Coordinators, ensures appropriate staffing levels are maintained.
  • Leads the development of an appropriate clinical care delivery model that supports physician and patient satisfaction, efficiency, quality care and productivity.
  • Collaborates with Pre-surgery Supervisor to ensure the smooth transition of patients requiring surgery to the OSS Health surgical facilities.
  • Ensures processes and protocols that limit case cancellations, support process standardization and improve overall patient preparation for surgery.

Regulatory Compliance

  • Employs root cause analysis and/or tracer methodology to examine the cause of errors, improve/revise process and educate staff.
  • Continuously assesses the performance of clinical protocols to ensure quality patient safety and regulatory compliance.
  • Develops or assists with the development and implementation of policies and procedures consistent with those of the organization to comply with regulatory agencies: DOH, TJC, CMS.
  • Other duties as assigned.

    SUPERVISORY RESPONSIBILTIES:

    Supervises (directly or indirectly) all Clinical staff working in the Clinic, including Clinical Operations Coordinator, Satellite Coordinators, Clinical Team Leads, Clinical Specialists, Satellite Patient Access Staff, and Clinical Scheduler.

  • Functions as a coach & mentor to the staff for whom this position is responsible.
  • Participates in and/or supports the employment process in conjunction with the Human Resources Department.
  • Submits requests for staffing needs on a thorough and timely basis, securing all necessary approval(s).
  • Participates in the screening/interviewing process, making self available to meet the candidates’ needs to expedite the screening process.
  • Participates in and/or supports the Orientation of newly hired staff members.
  • Provides and/or oversees the training of newly appointed staff members (to the department).
  • Develops and/or maintains on-going training programs/initiatives to enhance skills, knowledge and productivity of existing employees.
  • Participates in training sessions as required and/or deemed necessary.
  • Provides leadership and direction to the staff for whom responsible in order to maintain a work environment that promotes the creative development of ideas and allows employees to meet and/or exceed expectations and established standards of performance.
  • Establishes the expectations for performance for those staff reporting to this position (and downline), monitors and measures this performance. Addresses concerns or weaknesses and takes appropriate action to ensure issues are resolved. Ensures that staff are working as efficiently, as accurately and as productively as possible.
  • Ensures the compliance and/or oversees the compliance with all policies and procedures by staff. Recognizes exemplary compliance. Initiates appropriate corrective action in instances of noncompliance; secures required approvals before addressing with the staff.
  • Makes decisions and takes actions essential to the daily operation of the work area(s) for which responsible.
  • Maintains or oversees the maintenance of supplies deemed necessary for the efficient operation of the area(s) for which responsible.
  • Researches major expenditures (including equipment, supplies and/or systems) and make recommendations to the appropriate member(s) of management for approval to purchase.

    LANGUAGE SKILLS:

    Must be proficient in the English language, both verbally and written, in order to communicate effectively with patients, co-workers, physicians, vendors, and the general public.

    PHYSICAL DEMANDS:

    Moderate physical effort when working in patient care environment consisting of standing, walking, pushing, pulling

    bending, reaching, and stooping. Moderate sitting and keyboarding when performing administrative responsibilities. Fine and gross motor skills and manual dexterity to operate keyboard and other equipment. Occasionally lift and/or move up to 25 pounds. Must be able to respond quickly and effectively to an emergency.

    WORK ENVIRONMENT:

    Climate controlled environment with occasional periods of being outside.
