Heart and Vascular Associates, LLC

We are a well-established, successful independent multiple provider cardiology practice serving the local community for over six years. We are looking to hire a team member to share responsibilities and fulfill both Medical Assistant and Front desk duties within our office and provide support to our team, providers, and patients.

(Three days or as needed)

  • As a partner with our full time Front Desk team member, provides front line access to all who arrive at practice including scheduled patient, pharmacy reps, deliveries, and patient drop ins
  • Phones; helping with answering and responsible for returning calls and/or completing responses from physicians accordingly within the EMR system.
  • Responsible for clearing off phone voice mails throughout the day
  • Responsible for printing all patient encounters forms, billing sheets, and order forms each day for all providers and resources in cooperation with front desk primary
  • Greet and check in all patients completing all facets of the check in process within eClinical Works including insurance and demographic verification
  • Scanning all new patient forms, insurance cards, and driver’s license
  • Verify if paperwork has been completed/signed
  • As back up to MA2, monitor the fax program/process by going through and distributing faxes accordingly throughout the day
  • Working with billing staff/manager to obtain any missed referrals by obtaining backdated information from PCP and/or corrected insurance information from patients
  • Collect all copayments and balances due. Printing receipts/documents for billing staff documentation
  • Responsible for managing a wait list document
  • Responsible for all insurance credit card payment processing
  • Responsible for mailing patient forms at least one week prior to patient appointment
  • Responsible for completing the electronic access participation in patient chart
  • Responsible for scanning documents provided by patient and/or received through mail
  • Responsible for sending voice message to all no show patients to reschedule missed appointments
  • Responsible for sending confirmation messages for Fredericktown clinic
  • Responsible for sorting, opening, scanning and distributing mail

Two days (or as needed)

  • Primary point of clinical contact for clinic with rooming patient, obtaining history, assessing vitals, medication documentation and review, and documenting information in patient chart as indicated by workflow and MIPS/Compliance requirements.
  • Responsible for performing EKG
  • Responsible for contacting new patients for previsit screening when possible
  • Responsible for pulling documents from EPIC as needed
  • Responsible for creating orders for future testing. If necessary, notifying the precert staff to complete the precert/preauth process if required based on the patient’s insurance plan for all scheduled tests and/or procedures within the next 45 days.
  • Responsible for INR management of practice patients both in office and remote
  • Responsible for Stress test administration
  • Responsible for all monitor entry, instruction, registration, patient care, upload/monitor to website and results to provider/patient as requested by provider in cooperation with other MAs
  • Responsible for scheduling diagnostic testing/procedural as ordered in cooperation with Provider
  • Responsible for providing instructions to the patient for scheduled diagnostic testing
  • Responsible for faxing orders for all sleep studies and cardiac rehab
  • Must clean and prep rooms accordingly every night and log on the checklist per compliance.
  • Phones; Responsible for triaging calls for physician response as needed
  • Responsible for returning calls for questions and test results as needed as directed by the provider
  • Monitor the fax program/process by going through and distributing faxes accordingly throughout the day
  • Request medical records when needed/as requested by the provider
  • Finding PCP and adding to the system with all required elements
  • Reschedule patients when needed to meet the provider needs.
  • Responsible for creating orders for all future testing. If necessary, notifying the precert staff to complete the precert/preauth process if required based on the patient’s insurance plan for all scheduled tests and/or procedures within the next 45 days.
  • As back up to MA1, responsible to handle all incoming prescription refills for the physicians. Both the fax and electronic refills will need to be completed per the refills process including entering into the system
  • As back up to MA2, responsible for any medication authorizations required as indicated by pharmacy
  • Communicate effectively with coworkers when help is needed to ensure all patients are number one priority and we do not go home without resolving as much as possible
  • Compliance with all applicable policies and procedures including, but not limited to, OSHA, Meaningful Use, PQRS, HR, CPT and ICD-10 compliance.
  • Other job responsibilities as assigned

COVID-19 considerations:
Our office currently requires both continual mask wearing for all staff, and for all patients and guests entering our office. We have some protective shields in place where possible and a required cleaning schedule.

  • High school or equivalent (Preferred)

Experience:

  • EMR systems: 1 year (Preferred)

License/Certification:

  • BLS Certification (Preferred)
  • Certified Medical Assistant (Preferred)
