Job Summary:

Coordinate, track, and manage Van Fleet vehicles (anticipated 74-145 total vehicles) in support of the OEM Van Team, utilizing DriveShop and OEM database systems. Organize vehicle moves and activities with regional DriveShop offices, other marketing agencies, and trucking vendors.

Job Functions:

Vehicle Management

  • Work with distribution and OEM to place vehicle orders and complete the new vehicle ordering process
  • Provide vehicle list and show/event assignments as soon as possible. Communicate any updates or vehicle changes to show lists or special requirements for upfit vehicles.
  • Provide recommendations for optimization and efficiencies on an ongoing basis
  • Schedule all transportation of the Vans fleet after the Vans arrive at their destination from the marshalling yard
  • Logistics team will arrange transportation from the marshalling yard to Drive Shop or other location. All moves after being delivered from the Marshalling Yard are to be managed by Drive Shop
  • Manage anticipated turn ins (6k – 8k miles or 1 year)
  • Coordinate with DriveShop operators to maintain vehicle fleet (start/drive vehicles on agreed upon basis to maintain vehicle and battery strength)
  • Coordinate with Drive Shop operators to manage vehicle service appointments based upon OEM recommended service intervals.
  • Coordinate with DriveShop offices for detailing of vans onsite before they go to shows/events. Ensure fuel level is below ¼ tank if the show is indoors.
  • Vehicle turn in paperwork must be completed and submitted through the OEM Fleet management system

Account Management

  • Work with other OEM agencies of record to coordinate vehicle support surrounding all brand activities
  • Manage any quarterly meetings/reporting
  • Request drivers contact information and delivery confirmations.
  • Troubleshoot any delays or carrier cancellations with appropriate parties
  • Provide vehicle drop off at various locations for small ad hoc marketing projects (marathons, VIP events, OEM events etc.)

· Update OEM and DriveShop fleet management systems

Administrative

· Provide budget updates and flag overage or incremental requests concerns to ensure Client is aware of budget implications.

  • Complete all accident reports as they occur and submit to OEM for processing. Manage all transportation logistics surrounding the incident and work directly with a local dealer.
  • All Vehicle Registrations
  • Update all registrations on the vehicles when they expire each July (currently they are registered in Georgia)
  • Coordinate with OEM contact to process and distribute new vehicle registrations, as necessary
  • Process and monitor pass-through invoices if transportation moves are not booked in OEM system.Ensure all display vehicles have vanity plates and meet OEM marketing standards

· Work with DriveShop offices to complete portfolio tracking and management, including:

-Mileage audit reporting

- Service Maintenance

- Imagery/specifications for OEM and DS FMS systems

Education/Experience:

· Possess 1-3 years in logistics, automotive industry, events, communication and/or public relations

· College degree preferred

· Familiarity with fleet management systems

· Understanding of German and Spanish languages are a plus

Job Type: Full-time

Pay: $60,000.00 - $64,000.00 per year
