Administrative Coordinator

Lafayette, Indiana

Administrative Coordinators ensure that workplace administrative needs are met. HR duties include all aspects of the hiring process from scheduling interviews to new hire documents, and hosting new hire onboarding. The incumbent will coordinate company events including corporate and outside visitors, holiday parties, summer picnic, etc. The Administrative Coordinator is responsible for confidential and time sensitive material.

THE OPPORTUNITY

Key responsibilities: Administrative Coordinator

  • Oversee uniform ordering for new hires and current staff, manage current stock, work with outside vendor to ensure proper billing
  • Participate in job postings, candidate interviews, and hiring process
  • Coordinate local onboarding Orient new employees by providing information packets; reviewing company policies; ensuring office space is prepared
  • Coordinate recognition events for retirements, seniority, bereavement, and birth including planning a celebration, ordering gift, etc.
  • Maintain a monthly hourly employee report that includes OT%, work hours, scheduled hours, absences, and other information helpful to the management team.
  • Forward manager’s email correspondence to the site; Communicate upcoming events to the site
  • Plan and arrange events, including organizing catering, booking meeting space, and ordering supplies as needed
  • Maintain stock lists and orders office supplies
  • Update phone list with new joiners, leavers, and organizational changes
  • Liaison for community partnerships and events
  • Plant point contact for communications and branding activities
  • Direct employees with queries about HR-related issues to either PeopleServices or HR Manager depending on scope
  • Assist PeopleServices by providing relevant employee information and facilitating resolutions to employee queries, such as payroll errors, vacation balances, etc.
  • Check mail and deliver to employee mailboxes


ABOUT YOU

  • 3 years relevant experience in an administrative or clerical role
  • High school diploma required, Associates degree is a plus
  • Fluent in Microsoft Office Suite
  • Ability to learn and master internal software systems including SAP, Workday, Gensuite
  • Strong organizational skills
  • Flexibility needed as day-to-day changes/issues arise
  • Ability to work and collaborate with various internal and external customers and groups
