ACA International is an association based in Eagan, Minnesota and is the recognized thought leader, indispensable resource, and voice of the accounts receivables management industry. ACA leads the industry through education, advocacy and resources designed to help members succeed.

POSITION SUMMARY:

ACA has a newly-created position to assist with the growing number of events it manages. In collaboration with the meetings and events team, this position is responsible for administrative support and contributes to the successful execution of ACA International’s meetings, events, exhibits and sponsorships, as well as those of the organizations managed by ACA.

This position is scheduled for 24 hours per week. After completion of in-office training, the candidate chosen can work a hybrid schedule to be determined with direct supervisor. The hybrid schedule includes remote work days and days in the office, and will be determined based on needs each month.

ESSENTIAL DUTIES AND RESPONSIBILITIES.

Technology Use

  • Post new events to the online event calendar.
  • Maintain website updates for each upcoming event as instructed by the events and education teams.
  • Set up system for attendee, exhibitor and sponsor registrations and prepare appropriate registration forms.
  • Register attendees, exhibitors and sponsors as needed.
  • Enter event into event mobile apps for events and education team to review.

Data & Reporting

  • Create and update reports in a timely manner for events including weekly attendance, hotel rooms, final event reports and others as needed from the events team.
  • Reconcile registrations after each event and prepare reports for education team to assign Professional Development units.
  • Assist with association event data and documentation projects.

Event Preparation

  • Draft preliminary staging guides for events based on content provided by Director and Manager.
  • Place orders for event materials including name badges, lanyards, tentcards and sponsor-related items. This includes seeking approval from sponsors on items using their logos.
  • Prepare name badges, tickets, check-in lists, emergency manuals, laptops, signs and supplies for the upcoming events as needed.
  • Follow-up with members and participants with past due invoices.
  • Book flights for staff for events.
  • Ensure excellent customer service prior, during and after all meeting and events.
  • Work within the designated timeline of every assignment and project.
  • Other duties and projects as assigned to meet business needs.

MINIMUM QUALIFICATIONS

  • Education - High school diploma or equivalent and 2 years’ experience in an administrative support position.
  • Technology - Proficiency with Microsoft Office (Outlook, Word, PowerPoint, Excel) and ability to quickly learn new technology. Excellent computer skills and experience with technology-based delivery mechanisms.
  • Communication - excellent communication and customer service skills. Able to work effectively within the department and broader organizational staff, fostering cooperation and work cross-functionally to help define and implement solutions.
  • Problem-Solving - Ability to define problems, collect data, establish facts and draw valid conclusions.
  • Organization - Demonstrated organizational skills and ability to handle multiple projects simultaneously in a fast-paced environment. Ability to focus, maintain high energy level and successfully complete tasks on time.
  • Travel - Ability to travel to assist with ACA’s events across the country. Travel expectations could be in March and November for 2-3 days and in July for up to 6 days.

PREFERRED QUALIFICATIONS

  • Bachelor’s degree in business administration, communications or related field plus 1 year of work experience in related field.
  • Experience working for an association.
  • Experience with Microsoft Dynamics and WordPress.
  • Understanding of generally accepted meeting planning practices.

WORK ENVIRONMENT / PHYSICAL SKILLS AND ABILITIES

  • Regularly required to sit, stand or walk.
  • Majority of the work done in this position is on a laptop computer.
  • Occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required by this job include close vision, distance vision and ability to adjust focus due to computer use.
  • The noise level in the work environment is usually moderate.
  • Fast paced environment requiring high intensity at times based on workflow.
