Job Description

Position: Administrative Assistant

Program: Family Child Care Home Education Network Program

Responsible to: Program Manager

FLSA Status: Non-Exempt, Full Time Status

Under the direction of the Program Director, utilize skills with minimum supervision, perform the following duties:

  • As directed, sets up and maintains a filing system including correspondence, records, copies of contracts and regulations and any other filings or records which may be assigned.
  • Maintains an accurate calendar of events, appointments and schedule.
  • As directed, makes travel arrangements and prepares per-diems.
  • Prepares materials for mailing and distributes mail.
  • Ensures proper coding of all accounting/purchasing documents and forwards all accounting/purchasing documents to Montebello Office.
  • Prepares and translates correspondence, memorandums, forms, documents and other materials. Composes and edits letters design and flyers, types and reproduces forms and maintains adequate supplies of forms.
  • Takes minutes of staff and other meetings.
  • Answer the telephone, takes and relays messages.
  • As directed, coordinates maintenance of printer/scanner/fax machines and ensures office supplies are ordered and well stocked.
  • As assigned, compiles final monthly attendance report and submits to accounting according to program policies and procedures.
  • As directed, performs technical assistance to centers.
  • Ensures that staff and/or parent complaint or concerns are forwarded to proper management personnel.
  • Insures confidentiality of all communications and records.
  • May be assigned to attend meetings, conferences, and workshops.
  • Performs other duties as necessary for the implementation of the program.
Requirements:
  • Minimum two (2) years of administration and/or supervision.
  • Ability to work independently with minimum supervision.
  • Experience with and/or knowledge of childcare programs, preferred.
  • Strong effective written and verbal communication.
  • Must be able to manage multiple tasks, competing priorities and meet deadlines
  • Bilingual (English/Spanish) preferred.
  • Computer knowledge.
  • Must possess own vehicle at all times, a valid California Driver’s License and appropriate automobile insurance.
  • Must be fingerprinted and cleared through the Department of Justice.
  • Ability to maintain cooperative, diplomatic working relationships with co-workers,
supervisors, and the public.
  • Work as part of a team and collaborate with co-workers; and complete projects under tight deadlines even when there are competing requirements and changes in assignments.

Specific vision abilities required by this job include close vision, peripheral vision and ability to adjust focus.
