Accounts Payable Specialist

Accounting Responsibilities: **For multiple subsidiaries**

1.) Vendor Relations

• Create and maintain all vendor information
• Collect and store all W-9’s needed for 1099 processing at year end
• Merge any duplicate vendors
• Point of contact for all vendor inquiries
• Work with vendors on account discrepancies
• Create relationships between customer and vendors in ERP system
• File, Print and Mail 1099’s

2.) Vendor invoices

• Process expense invoices
• Process purchase order invoices and work with receiving department with any discrepancies
• Responsible for getting proper approvals if applicable
• Work with purchasing for invoices for any open item receipts
• Organize and file all invoices with appropriate backup into electronic storage software

3.) Process Payments

• Provide weekly payment projections to CFO
• Weekly manual check run
• Weekly payments via third party payment processor
• Weekly online payments through vendor website

4.) Month End Processes

• Review vendor statement of accounts and request any missing invoice and process timely
• Follow up with any invoices that have not been approved
• Confirm all invoices via online have been processed for the month
• Work with vendors on any open credits to get refund
• Obtain all missing invoices for open purchase order receipts and processed before month close

Education and Experience:

• Experience with Excel Required
• Experience with Netsuite not required but a plus
• Experience with Docuware not required but a plus
• At least 5 years of experience in similar accounts payable position

Job Type: Full-time

Pay: $42,000.00 - $48,000.00 per year
