OFFICIAL POSITION DESCRIPTION

ACCOUNTING ASSISTANT

Program: Fiscal Salary: $34,971 - 47,103

Supervisor: Chief Financial Officer (CFO) Salary Range: 3

FLSA Status: Exempt Non-Exempt Position Type: Regular Full-Time

POSITION DESCRIPTION
Performs supporting functions as required by the fiscal department and its accounting personnel. Individuals perform more advanced accounting tasks and may guide and assist in the training of less experienced employees.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Related duties as assigned.
  • Processes payments and documents and documents such as invoices, journal vouches, employee reimbursements, and statements.
  • Verifies items billed against items ordered and received and reconciles differences through follow-up with the vendor and/or other employees.
  • Enters, updates, and/or retrieves accounting data from the automated systems.
  • Files and/or removes records and reports.
  • Process and reconciles employee expense claims and employee travel claims according to internal policy and procedures
  • Assists the accounting staff in the annual audit preparation
  • Possesses a general understanding of Generally Accepted Accounting Principles (GAAP) and general fiscal policies and procedures regarding internal controls.
  • Assists all accounting staff as needed in on-projects, special assignments, etc.
  • Performs the above duties, and other duties as assigned, while maintaining a professional appearance and attitude.

REQUIRED EDUCATION, EXPERIENCE, CERTIFICATIONS AND LICENSES:

  • Education: AA degree or equivalent experience performing accounting duties and/or functions.

  • Familiar with how to utilize the financial software of MIP and its modules; Microix and its modules.
  • Must be familiar with the aims and objectives of the Project and express a genuine enthusiasm for its success.
  • Must be sensitive and possess an awareness and keen appreciation of Indian traditions, customs, and socioeconomic needs of the Indian community.
  • Cardiopulmonary resuscitation (CPR) certified or obtain within three months of hire.

PHYSICAL DEMANDS:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Sitting / Mobility: Approximately 80% of time is spent working at a desk. Balance of time (approximately 20%) is spent moving around work areas. Communication: Ability to effectively communicate with co-workers, patients, members of outside agencies, in person, by telephone, and by email. Vision: Ability to effectively use a computer screen and interpret printed materials, memos, and other appropriate paperwork. Lifting / Carrying: Ability to occasionally lift and/or move objects weighing no more than
25 pounds. Stooping / Kneeling: Ability to access files/stock supplies in low cabinets and shelves. Reaching /
Handling: Ability to input information into computer systems and retrieve and work with appropriate paperwork, equipment, and supplies. Use of standard office equipment, including computer, telephone, calculator, copiers, and fax. Work is performed in an office/clinic environment; continuous contact with other staff and the public.
